Overview

Welcome to Tokyo Card Base ("we", "us", "our"). By accessing our website at https://tokyocardbase.com or communicating with us through our official channels, you agree to be bound by these Terms of Service.

These terms govern all interactions with Tokyo Card Base, including inquiries, quotations, purchases, payments, shipments and other business activities.

Acceptance of terms

Your use of our services — including contact through this website, email, live chat or the WhatsApp number published on the Contact page — constitutes your acceptance of these Terms of Service.

If you do not agree with any part of these terms, please do not use our services.

Modifications to terms

We may update or amend these terms at any time by posting revisions on this website. Continued use of our services after changes are posted indicates your acceptance of the updated terms.

The effective date and last-updated date at the top of this page describe the version currently in force.

Section 1 — Eligibility & business use

By using our services, you confirm that:

• You can form a binding contract in your own jurisdiction.
• Retail customers, breakers and businesses may all order. Wholesale pricing and case quantities are available to business buyers.
• You comply with the import, export and customs laws that apply to your order.
• You will not use our products for unlawful or unauthorised purposes.

We may ask a first-time or wholesale account for proof of business operation. Where eligibility requirements are not met we may refuse or end service.

Section 2 — Communication & order process

An order is an offer to buy. The contract forms when we confirm dispatch, and if an item is mispriced or out of stock we may decline the order and refund it in full before dispatch.

Orders, questions and changes are handled through this website, our published email address and the contact channels listed on the Contact page. Anything arranged somewhere else cannot be matched to your order and may not be honoured.

Order flow

1. You place an order and receive an order number.
2. We check the price and stock against our inventory and tell you if anything has changed.
3. Payment is taken by the payment provider.
4. Your order is picked and packed in Tokyo.
5. The parcel is dispatched on a tracked, insured service and the tracking number is emailed to you.
6. The parcel is delivered, and we stay on the order if anything is wrong with it.

Section 3 — Product authenticity & condition

Stock is sourced through Japanese distribution and checked before it is listed. Condition is labelled plainly — sealed, no shrink or graded — and the Product Condition Guide explains what each label means.

Sealed products are randomised at the factory. What is inside a given box is chance: no specific card, hit rate or pull is guaranteed, and images of contents are illustrative.

Where a listing gives a grading company and certification number, you can verify the slab with that grading company. We do not otherwise guarantee that third-party verification documents accompany every parcel.

Any item found not to be genuine is refunded in full, including shipping both ways. Where a listing, quotation or invoice makes a specific representation about sourcing, provenance or condition, that representation governs the transaction.

Section 4 — Pricing & payment terms

All prices are quoted in Japanese yen (JPY) unless stated otherwise, and remain subject to change with market conditions until an order is confirmed.

Accepted payment methods

• Card payments, taken through the payment provider configured for this store.
• Express-wallet payments offered by that provider at checkout.

Card details are entered with the payment provider and are never stored on this website.

Payment policies

• Payment is taken in full at the time the order is placed, in Japanese yen.
• Order processing begins once payment is confirmed.
• Your bank converts at its own rate and may add a foreign transaction fee.
• Shipping, import duty, tax and customs handling are not included in the price unless stated otherwise.

Volume pricing & coupon codes

Volume discounts apply automatically at the highest tier an order qualifies for, and one coupon code may be used per order. Where a code and an automatic discount would both apply, the larger of the two is used rather than both; the Coupon Terms page sets out the detail.

Section 5 — Shipping & delivery

Orders are dispatched from 3 Chome-1-2 Toyosu, Koto City, Tokyo 135-0061, Japan on a tracked, insured international service. In-stock orders are picked and dispatched on business days; orders placed at a weekend or on a Japanese public holiday are dispatched the next business day.

Pre-order and allocation items ship on release. Where an order mixes in-stock and pre-order lines it ships once complete, unless you ask us to split it.

Tracking & import charges

• Tracking is emailed when the parcel is handed to the carrier, and can also be looked up on the Track Order page.
• Import duty, VAT or GST, and any customs handling fee charged in the destination country, are payable by the recipient and are not included in the checkout price.
• Every parcel is declared at the price actually paid. We do not mark parcels as gifts or under-declare value; both are customs fraud in most destinations and void the shipment insurance.
• Carrier backlogs, customs inspection and incomplete delivery addresses are the usual causes of late delivery. A customs hold sits outside our control.

You are responsible for supplying a correct delivery address, and for checking that the goods may lawfully be imported into your country.

Section 6 — Returns, refunds & disputes

Eligible return reasons

• Wrong item shipped.
• Significant damage that was not disclosed.
• Condition materially different from the description.

Not eligible

• A change of mind after sealed product has been opened.
• Movement in market price.
• Minor cosmetic variance within industry standards for a sealed or graded item.

Return process

1. Notify us within 7 days of delivery, with photographs of the packaging and the item, at tokyocardsbase@gmail.com.
2. We issue a return authorisation and tell you where to send the parcel.
3. Return the item in its original condition and packaging.
4. Once the return is received and checked, we refund or replace it.

Faulty or incorrect items are returned at our cost; change-of-mind returns are at the buyer's cost. Original shipping is refunded where the fault was ours. The Return & Refund Policy page sets out the detail, and nothing here limits a cancellation right you hold under the law of your own country.

Disputes are handled in good faith, and may proceed to mediation under Japanese commercial law where they cannot be settled directly.

Section 7 — Intellectual property & content protection

Copyright notice

All content on this website — including text, product descriptions, images, pricing and inventory systems, processes, documents and communication templates — is the property of Tokyo Card Base and is protected under Japanese and international copyright law.

Prohibited actions

You are prohibited from:

• Copying, scraping, translating or reproducing any part of this website or our business content without written permission.
• Re-using our images, product descriptions, price lists or this Terms of Service text.
• Automated data collection or reverse-engineering of our systems.
• Using our documentation or processes for a competing business.

Enforcement

Unauthorised use of our content may end the business relationship and lead to takedown requests and civil claims under applicable copyright law. We monitor for unauthorised use and enforce these rights.

Trademark notice

Pokémon, One Piece, Yu-Gi-Oh!, Dragon Ball and all other product names, logos and card images are trademarks of their respective owners. Tokyo Card Base is an independent retailer and is not affiliated with, endorsed by or licensed by any of them.

Section 8 — Confidentiality

In the course of a business relationship both parties may exchange confidential information such as pricing structures, supplier details, business plans and customer lists. Each party agrees to keep that information confidential, to use it only for the purpose of doing business together, and to remain bound after the relationship ends.

Section 9 — Limitation of liability

To the maximum extent permitted by law, Tokyo Card Base is not liable for indirect, incidental, special, consequential or punitive damages, including lost profit, revenue, business opportunity or data.

Our total liability for a transaction is limited to the amount paid for that transaction. Nothing in these terms excludes liability that cannot lawfully be excluded.

Section 10 — Indemnification

You agree to indemnify and hold harmless Tokyo Card Base, its officers, employees and agents against any claim or loss arising from your breach of these terms, your violation of any law, your misuse of the products, or your unauthorised use of our brand or documents.

Section 11 — Prohibited uses

Prohibited conduct includes, but is not limited to:

• Fraudulent activity or providing false information.
• Illegal resale, or evasion of customs duty or tax.
• Impersonating Tokyo Card Base or misrepresenting an affiliation with us.
• Unauthorised scraping or hacking, or transmitting malicious code.
• Money laundering, sanctions evasion or terrorist financing.

Violation may result in immediate termination of service and legal action.

Section 12 — Force majeure

Neither party is liable for a failure or delay caused by events beyond reasonable control, including natural disasters, war, government action, epidemics, strikes, carrier failures or other force majeure events.

If a force majeure event continues for more than 30 days, either party may cancel the affected transaction without liability.

Section 13 — Termination

We may refuse an order or end service where these terms are breached, where false information has been given, where conduct is unlawful, or where it would harm the reputation of the store. Outstanding amounts remain due after termination, and the confidentiality, intellectual property and liability provisions survive it.

Section 14 — Governing law & dispute resolution

These terms are governed by the laws of Japan, and the Tokyo District Court has jurisdiction over any dispute arising from them.

The parties will first attempt good-faith negotiation and then mediation, and may pursue arbitration or litigation if that fails. Where these terms are published in more than one language, the English version prevails.

Section 15 — Privacy & data protection

We collect and process the information needed to take and fulfil an order, provide support, prevent fraud, and meet accounting and customs record-keeping obligations. We do not sell personal data.

Order and tax records are kept for as long as Japanese accounting law requires, and account data is kept until the account is closed. Customs declarations require your name and address to be passed to the carrier and to the destination customs authority. The Privacy Policy page explains this in full.

Section 16 — Miscellaneous

• These terms are the entire agreement between you and Tokyo Card Base on the subject matter they cover.
• If a provision is found to be invalid, the remaining provisions stay in effect.
• Assigning rights under these terms requires our written consent.
• Notices should be sent to tokyocardsbase@gmail.com.

Section 17 — Acknowledgment

By communicating with us or placing an order, you confirm that you have read, understood and agree to be bound by these Terms of Service, and that where you order on behalf of a business you are authorised to act for it.
